Planning a chauffeur journey is easier when the first enquiry includes the details that affect the route, vehicle and schedule. A clear request also makes it easier to compare the proposed service with what you actually need.

Use this checklist before asking for a London chauffeur quote. You do not need to know every detail immediately, but identifying what is confirmed and what may change helps prevent assumptions.

1. Start with the exact collection and destination points

Provide the full pickup and destination addresses where possible, including the postcode. A venue name by itself may not identify the correct entrance, terminal, hotel lobby or loading point.

For an airport journey, include the airport and terminal if known. For a station, event venue, office or hotel, mention the entrance or meeting point you expect to use. If the final address is not confirmed, say so and give the most accurate area available.

2. Give the date and local pickup time

State the journey date and the time you want the vehicle ready. It helps to make clear whether the time is a requested pickup time, an event start time, a flight arrival time or the time you need to reach the destination.

If the journey is connected to a flight, train, meeting, ceremony or performance, include that scheduled time separately. This gives useful context without relying on an assumed journey duration.

3. Explain the itinerary, including stops and return travel

A direct one-way journey is different from a booking that includes waiting, several stops or a return later in the day. List each known stop in order and say whether you expect the chauffeur to wait.

If the itinerary is still developing, identify the fixed parts and the flexible parts. For a multi-stop schedule or a period when the vehicle needs to remain available, ask whether hourly chauffeur hire is more suitable than separate one-way journeys.

4. Count passengers and describe the luggage

Give the total number of adults and children travelling. Also mention the likely number and approximate size of suitcases, cabin bags, pushchairs, equipment cases or other bulky items.

Passenger count alone does not show how much usable luggage space is required. Two travellers with several large cases may need a different option from four travellers carrying only small bags. 5. Note any timing or access constraints

Share information that could affect collection or access, such as a venue loading rule, security desk, gated entrance, road restriction, tight meeting schedule or a passenger who may need extra boarding time.

For events, weddings and production work, it is useful to provide the organiser or venue contact process and the order in which passengers need to travel. Do not include sensitive personal information in an initial public form unless it is genuinely required.

6. Ask what the quote includes

Before accepting a quote, check which journey details it covers and whether possible extras have been addressed. Depending on the booking, useful questions may include:

  • Is the quote based on one-way travel, a return or a period of hire?
  • Which pickup, destination and stops are included?
  • What happens if the itinerary or requested time changes?
  • How are waiting, parking, tolls or additional stops handled?
  • Is VAT included where applicable?
  • What cancellation or amendment terms apply?
  • Which vehicle or vehicle category is being proposed?

The answers should be recorded with the booking rather than inferred from general website wording.

7. Provide a reliable contact method

Include a phone number or email address that can be used for genuine booking communication, and state the best way to contact you. Recheck the spelling and number before submitting the request.

Avoid sending payment-card details, identity documents or unnecessary confidential information in an ordinary enquiry. Payment and verification information should be handled only through the appropriate secure process when required.
